Guidelines for Presenters
The Scientific Committee extends heartfelt thanks to all contributors who submitted their work to the Conference. A total of 560 abstracts were submitted to the 37th ECS conference in Dundee, and this included many truly high-quality submissions. All abstracts have been reviewed by at least three independent reviewers who scored abstracts blindly to ensure fairness, objectivity, and scientific integrity. This review process therefore included more than 270 expert reviewers and 1690 individual reviews.
Operating within the constraints of a three-day single session conference, the majority of abstracts have been accepted in the poster presentation format. Poster sessions offer a different kind of visibility and presentation platform, usually with more time for in‑depth discussion, direct engagement, and meaningful exchanges with colleagues. Our poster team is working hard to organise the poster sessions so that related topics are thoughtfully grouped together, helping to maximise exposure and interest from attendees and create a strong environment for scientific conversation, making the poster sessions as valuable as possible.
On this page, we further have recommendations for how you can maximise the value of your poster session - as well as the guidelines for poster sizes and orientation, and information on the talk formats. Please read these guidelines carefully.
POSTERS
Each posters can be up to A0 format (84.1 cm x 118.9 cm), and must be in portrait orientation.
We suggest using a minimum text size of 24 points to ensure readability from a distance of about 1-2 meters.
It is recommended to include:
A photo of the first author
The conference logo
The official logo can be downloaded here. The poster number given by the Scientific Committee at the top right corner
You can check your number by looking at the Poster Code List here.
Should you be presenting a poster you have already printed and which does not include these features, please print them separately and stick them on somewhere visible.
Posters must be hung on the assigned panels using the adhesive velcro that will be provided by the conference organisers. It is useful to include a QR CODE that directs to a pdf file containing your poster so that interested colleagues can download it. QR codes are also great if you have video footage to share, or additional figures.
On-site printing (optional): --> This service is not available any more as the deadline has passed.
Poster PDF uploading (optional):
For those presenting a poster and interested in gaining additional visibility, we’ve created a dedicated Google Drive folder where you can upload a PDF of your poster. There is absolutely no obligation to do so, but it does give delegates the chance to view and read your work in their own time, helping to maximise engagement and exposure. The link to this folder is here and you can "drag and drop" your PDF there.
Delegates will have a QR code on their name badges linking to several resources, including this poster folder. If you choose to upload your poster, please ensure the file name follows this exact format: “NNN – Last name First name” Where NNN is your assigned poster number. Any files uploaded that do not follow this format will be deleted from the folder.
Any questions about your posters, please contact our poster team at posters2026@europeancetaceansociety.eu .
TALKS
To prepare your oral presentations and short talks, the format of your powerpoint slides should be 16:9.
When creating your presentation slides, please keep in mind that each ORAL presentation should last 10 minutes, with an additional 2 minutes for Q&A. The expected duration of a SHORT TALK is 4 minutes.
Official logos of the Conference can be downloaded here.
We would like to remind all presenters to please upload your presentation slides as soon as you can and ideally no later than 24 hours before your talk is scheduled. This allows us to check your presentation is displaying correctly, and still leaves enough time to fix things if problems are encountered. Please make sure your presentations are on a hard drive / flash drive for transferring to the venue’s computer - Do NOT rely on being able to download your presentation from the cloud as there could be access and security issues.
We are working with a Windows system. If you’re creating your presentation on a Mac, please double‑check that the file is fully compatible with Windows. Formatting can shift between systems, so we encourage you to test your presentation on a Windows device well in advance. If you’re unsure, just pop by well ahead of your presentation and we’ll be happy to help you check it ahead of time.
